SPRING AWARDS SHOW
Policy, Rules and Requirements

SPRING SHOW POLICY
All participants must be paid-up members. Artists must be juried for each new category submitted. All artists must workone shift per category entered. WACA retains a 20% commission on sales.


JURY PROCEDURE
In order to insure that WACA exhibits and maintains its reputation for quality artwork, new members (as well as current members submitting work in a new medium) are required to be juried by the WACA Board. Please Contact the Show Coordinator to confirm that you will be dropping of artwork to be juried. This jurying procedure should not be confused with the judging that occurs during the show.


QUANTITIES AND RESTRICTIONS

For the juried portion of the show, artists are limited to three pieces in Fine Arts and/or Crafts. All work must have been completed within the last three years. All work must be entirely designed by the artist and should be fundamentally, if not entirely, handmade. Since this is a juried show and submissions are limited, we encourage each artist to submit his/her finest work. For this show only, WACA does allow work to be tagged “Not for Sale”. All art in the show must be original—no prints or copies may be submitted for judging, however, if you would like to offer prints of the original for sale, you may state the availability and sale price on a card.

ADDITIONAL ITEMS
WACA now permits show participants to submit a limited number of additional items for sale. To participate, you must be part of the juried portion of the show. Participants may drop off "a box" (24" x 24"?) of extra items when they check in Thursday morning. These items will be brought out and displayed only after the judging and preview party. Because space is limited, the WACA Board reserves the right to make the final decision on what items are brought out. Also, because wall space is very limited, it is very unlikely that extra wall art can be hung. Extra items should be inventoried on a separate inventory sheet from the judged artwork.


JUDGING AND AWARDS

Each piece submitted will be judged as either Fine Arts or Craft. All two dimensional art will be judged in the category of Fine Arts. Cash awards will be given for each category: $100 first place; $50 second place; $25 third place. In addition, there will be two honorable mentions for each category.

SALE AND FEES
All sales are handled by the Cashier. No work should be removed by anyone before the show ends on Saturday. Customers who purchase items will be encouraged to leave them until the show closes. WACA retains a 20% commission on all sales. Checks will be mailed approximately two weeks after the close of the show. WACA encourages special orders and commissions. If any sale is generated as a result of the show, WACA is entitled to a 20% commission. Feel free to leave an ample supply of business cards for the show. WACA is not responsible for the loss, theft or damage to any item.

Inventory Sheets & Labeling
Please be sure that your inventory sheet is properly and completely filled out before you arrive to drop off your items. If. you have any inventory sheet questions, please contact us.

Please use the Inventory Sheet for regular arts and crafts, the Duplicate-item Inventory Sheet for multiple duplicate items, or create your own similar spreadsheet. Fill out the top portion, then list your items individually.

1. For normal inventory entries: List your items on the inventory sheet giving each item an item code (your three initials + a number, e.g: WAC‑1, WAC‑2, WAC‑3), a description and a price.

Example:

  • WAC‑1 Watercolor, "Cape Sunset" $350.00
  • WAC‑2 Monoprint $250
  • WAC‑3 Turned Bowl $400.00

You may use dittos, if you would like.

2. For Identical‑item sets: Only if you have many identical or duplicate items at the same price, use the Duplicate‑item inventory sheet. Give each set of items an item code. (three initials + a number). Fill in the inventory sheets allowing 10 items per line.

Example:

  • WAC‑5 30 Greeting Cards $2.50 (You would then repeat this entry for 3 lines)
  • WAC‑6 15 Pen Holders $7.50 (You would then repeat this entry for 2 lines)

Labeling Your work:
There must be a label, tag or sticker on each individual item which corresponds to the listing in the inventory sheet. For the above examples, the watercolor would be marked: "WAC‑1 $35.00"; all of the greeting cards would be marked "WAC‑5 $2.50". Please print clearly in non‑smudge ink and be sure that tags are attached securely to the artwork! This is the only method the salespeople and cashier have to track items when they are sold. Neither the inventory sheets nor the items for sale will be accepted if they do not comply with the above procedures!

ARTWORK LABEL INFORMATION
WACA will be printing uniform labels for all of the artwork that is submitted for the judged portion of the show. We will need: Title, Medium, Item code and Price for each piece. Entering this information into the computer, printing the labels and putting them up is a big task. Please use the Spring Show Forms page to submit this information.

PUBLICITY AND POSTCARDS
Postcards have been printed and will be available to show participants. If you are interested in getting some to mail to friends, family and contacts, please indicate how many you would like on the registration form.


WORK SHIFTS
The length of each work shift will vary from three to three and a half hours, depending on the day and responsibilities. Participants must work one shift per art category submitted. For example, if you submit painting and jewelry, you must work two shifts. If an artist fails to show up for his/her shift, his/her artwork will be removed from the show. Work shifts will be assigned on a first come-first served basis, so mail in your registration early. If you have a problem with your work shift commitment, call Cheryl or Rees before your shift to make other arrangements.


WORK SHIFT RESPONSIBILITIES
Friday and Saturday sales shifts duties include writing sales slips, wrapping and packing items sold and assisting customers. Please arrive 15 minutes prior to your start time for instruction. Saturday Sales and Clean-up shift duties include dismantling and cleaning up after the show. Please stay until all work is completed.


DROP-OFF / PICK-UP
Drop-off of artwork is Thursday, from 8 - 10 am. At check-in time, submit your inventory sheet, along with your work to the show chairperson. Set-up crew will determine the placement of all items. Pick-up will be at 4:30 pm on Saturday. Please check in with the Treasurer, to review and sign-off on your inventory sheet prior to removing your work.
